At TIW Western, we are looking for a proactive, dynamic Receptionist & Office Administrative Assistant to join our Calgary, AB office team on a part-time basis. This position combines traditional front desk responsibilities with creative work like planning and executing employee events, celebrations, and team-building activities and collaborating with our Social Committee to bring fun and engaging ideas to life. This role has a wide breadth of responsibilities, so we're looking for someone with a diverse skillset and ideally at least 3 years of experience in a receptionist, administrative, or office support role.

As our Receptionist & Office Administrative Assistant, you will serve as the welcoming face of our organization while providing comprehensive administrative support across multiple departments. Responsibilities for this role include greeting visitors and managing front desk operations, answering phone calls and emails, managing incoming and outgoing mail and deliveries, maintaining office supplies and coordinating with vendors, and providing general administrative support to various departments as necessary. This job requires strong organizational and multitasking abilities as well as excellent written and verbal communication, time management, and interpersonal skills. 

Event planning or employee engagement experience is an asset for this role. Aside from the administrative responsibilities we've described above, the successful candidate would contribute to event coordination and carry out graphic design work, which is why we're specifically looking for candidates with and design skills. Because part of this role includes designing internal communications, event posters, and digital content using graphic design tools and AI tools in addition to keeping branding consistent across internal materials, creativity and experience with graphic design tools is necessary.

A high school diploma is necessary, but also having post-secondary education such as an Administrative Assistant Diploma or Administrative Professional Certificate would be considered an asset. Duties

  • Greet visitors and manage front desk operations with professionalism and warmth
  • Answer and direct phone calls and emails
  • Manage incoming and outgoing mail and deliveries
  • Maintain office supplies and coordinate with vendors
  • Provide general administrative support to various departments
  • Assist with planning and executing employee events, celebrations, and team-building activities
  • Collaborate with our Social Committee to bring fun and engaging ideas to life
  • Help coordinate logistics for meetings, lunches, and internal gatherings
  • Maintain a tidy and welcoming office environment
  • Design internal communications, event posters, and digital content using graphic design tools (e.g., Canva, Adobe Creative Suite) Use AI tools (e.g., ChatGPT, image generators, scheduling assistants) to streamline tasks and enhance creativity
  • Support branding and visual consistency across internal materials

Qualifications

  • Minimum 3 years experience in a receptionist, administrative, or office support role
  • High school diploma is required. Post-secondary education such as an Administrative Assistant Diploma or Administrative Professional Certificate would be considered an asset.
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills and interpersonal abilities
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Proficiency in MS Office (MS Word, MS Excel and MS PowerPoint)
  • Experience with graphic design tools (e.g., Canva, Adobe Illustrator, Photoshop)
  • Familiarity with AI tools for productivity or creative tasks is a strong asset
  • A proactive, can-do attitude and a love for creating a positive workplace culture
  • Event planning or employee engagement experience is a big plus!
